  • Delivers and collects parcels from or to vendors, Kenyan post office, Embassy APO, freight, and customs offices.

  • Weighing of all outgoing boxes and selecting the accurate address according to participant, format, and type of materials ready for shipping and chooses the best method of shipping for Library of Congress and AfriCAP participants by consulting shipping files instructions and procedures, Labelling and addressing boxes as appropriately for shipping.
  • Conducts exit checks and prepares packing lists using the local OFORS software, conducts exit check on materials prior to packing; which includes: ensuring correct materials are packed and addressed accordingly, including serial issues, books, maps, videocassettes, audiocassettes, and CD-ROMs, looking for any inconsistency between materials in hand and printout of bibliographic record, order slips, or inserted routing flags
  • Incumbent verifies LCCN, Language, Title, checks for presence of call number when appropriate, and existence of certain Machine-Readable Cataloging (MARC) fields to ensure it matches the level of cataloging for which it is flagged
  • Creates airway bills using the courier company’s software, creates an airway bill for each shipment indicating address, shipment weight, number of boxes, shipment contents in detail, and cost for each type of material and factors in aspects such as approximate cost for each type and country of publications
  • Stores and archives packing lists
  • Reviews all shipping invoices from different sources against our files to ensure that invoice line items for address, number of boxes, and weight are correct and were not previously paid

  • Maintains and controls shipping files and logs in order to answer questions about the date of shipping any materials up to three years back for Library of Congress or AfriCAP participants and maintains files for all shipping records for audit purposes
  • Responsible for purchasing all supplies needed by the section from the local market, including but not limited to plastic wrap, airbag plastic, different types of fillings, packing tapes, and empty boxes
  • Assist Acquisitions Librarians and Clerks in physical handling and transferring of Library materials between locations
  • Prepares sorts and packs into boxes, Monographs, periodicals, and serials, creates box shipments in the 3i OFORS software shipping module for out bound shipment to the United States of America
  • Delivers outbound courier mail (DHL, FedEx, etc.) to the truck transfer, records, and files all shipment receipts and waybills as required
