•Manage and maintain the Chief Executive Officer’s diary including booking and rescheduling
appointments.
•Receive and attend internal and external correspondence and telephone calls for the Chief Executive
Officer’s office to ensure they are carried out timeously.
•Receive external emails from the Hospital’s general email account and forward them to the relevant
departments in a timely manner.
•Receive and submit documents requiring the Chief Executive Officer’s attention and/or approval and
dispatch the same to relevant departments upon approval.
•Facilitate Chief Executive Officer and Senior Leadership Team meetings ensuring video conferencing facilities are set up, requisitioning for food and beverage service as well as sending invitations and booking of rooms.
•Facilitate travel arrangements and logistics including visa processing, flight, and hotel reservations.
•Record, circulate and track action points in the Chief Executive and Senior Leadership meetings.
•Receive and disseminate the Chief Executive Officer’s communication to relevant audiences as directed
by the Chief Executive Officer.
•Receive and attend to complaints from clients that come to the Chief Executive Officer’s office and
follow up to ensure timely closure.
•Overall administration and coordination of the affairs of the Chief Executive Officer’s office including keeping and updating the database of the Hospital contacts and strategic contacts for the Chief Executive Officer.
•Ensure the hard and soft copy of the Chief Executive Officer’s filing systems are in order and up to date
and confidentiality of the information is maintained.
•Perform any other duty as may be assigned by the Supervisor from time to time.
•Oversee and achieve organizational goals while maintaining an efficient, productive, and positively cultured office and employee experience.
•Manages day-to-day operations, ensuring the quality, standards and meeting the expectations of the customers daily.
•Works Closely with the General Manager to plan and execute all organization related events and programs.
•Arrange complex and detailed travel plans, determining travel needs for all upcoming trips, and arranging flight and accommodation bookings as well as on the ground logistics within parameters for cost and convenience.
•Anticipating and responding to the Manager’s needs relative to upcoming meetings and events; coordinating
and managing appropriate resources; and ensuring follow-up is completed for each and every meeting.
•Support with the preparation of agenda, circulating any necessary papers, and ensuring the keeping of accurate minutes.
•Strong calendar management with ability to make organized decisions about scheduling meetings, resolving calendar conflicts, working in conjunction with multiple calendars, proper time zones and documentation within the calendars.
•Coordinating the management of the office administration function and supporting the finance team with management of accounts and budgetary control.
