  • As an Operations Assistant, my key role in supporting day-to-day logistics operations and ensuring the timely movement of parcels. My responsibilities include:
    Operational Monitoring & Reporting (using Excel):
    oFollowing up on pending COD (Cash on Delivery), missed pick-ups, pending scans, and overdue parcels for clearance.
    oGenerate and share daily and weekly reports for VIP clients and highlight performance gaps and follow up with the PICs (Persons In Charge) across different regions.
    VIP Client Delivery Coordination:
    oMonitor delivery status for VIP clients including Kilimall, AliExpress, and Oraimo, ensuring priority handling and timely deliveries.
    oFollow up with relevant teams to push for 2 PM compliance and improve delivery rates.
    Issue Resolution:
    oCollaborate with PICs to resolve operational challenges such as late truck arrival, delayed deliveries, and following up on un-updated parcels that have been in office for more than 24hours.
    oEnsure communication between franchisees and PICs to resolve issues efficiently in operations.
    Overdue Parcel Management:
    oIdentify parcels held in offices for more than 7 days and ensure proper follow-up for clearance or return, depending on client interest or rejection.
    oProvide daily feedback and escalate unresolved cases as needed.
    Process Improvement:
    oSupport continuous improvement initiatives aimed at increasing delivery efficiency, reducing delays, and improving overall client’s satisfaction.

“In my role as an Operational Assistant at Speedaf Logistics Company, I typically traveled 3 to 4 days a week to various warehouses, distribution centers, and Franchisees sites across the region. Most of my trips involved:

Challenges & Preparation:

  • Many of these trips meant starting before dawn,especially when I had to beat Nairobi traffic or reach warehouse before inclement weather set in. I always checked weather forecasts, kept spare phone chargers and power banks in my bag, and maintained a backup contact list (warehouse managers, regional supervisors(PIC), client officers).
  • On a few occasions, vehicles broke down en route to remote depots. In those situations, I arranged quick support from our in-house mechanics or local service centers, and worked with dispatch to reschedule critical load runs. Having a clear escalation protocol saved us from major delays.

Key Outcomes & Skills Demonstrated:

  • By conducting regular warehouse audits, I helped reduce discrepancies by 20%, ensuring our billing and client reporting were more accurate.
  • My ride-alongs with drivers uncovered inefficiencies in route planning. Together with the dispatch team, we implemented a dynamic routing tool that cut average delivery time by 12%.
  • Onboarding new clients in person led to faster system integration. Several key accounts praised our “quick turnaround” and “hands-on support,” which helped earn repeat business.
