  • Ensures a daily smooth and seamless function of the office
  • Managing and scheduling of staff transport requests for various transfers e.g academy visits, airport transfers etc using little cab corporate App.
  • Liaise and coordinate with our travel agent for any travel related requests e.g flight bookings, travel insurances, Visas etc, for both local and international staff.
  • Managing company's Asset insurance on CRM system, process the claims by collating and compiling relevant documentation to launch a claim for refund on behalf of employees, both for field staff and support office team.
  • Managing company's medical insurance scheme by enrolling new joiners to the cover and follow thru' till medical cards are received in good time, update deletion list obtained from HR and send to the insurance for deactivations, process quarterly invoices for payment for all the additions realized within that period.
  • Monthly utility bills payment processing plus all other varied monthly bills/invoices, follow up with vendors for timely submission of end month bills for timely payment processing.
  • Managing vendors by informing/advising whenever we have any change in quantity deliverables, when a service is due e.g fumigation, monthly cleaning/repairing of the water dispensers etc.
  • Collaborate with vendors both for daily deliveries ( Milk, water, cleaning services) plus for monthly services and follow through with them by end of every month for invoice submission processing to avoid delayed payments to our esteemed vendors
  • Processing of staff IDs/Business cards for every new joiner
  • Assist with processing training certificates during trainings
  • Daily processing of travel tool/advance form requests from the schools team/field staff and even support office team especially during trainings, summits, outreaches, Price Giving day activities etc. Follow thru' till payment is received by the requestors.
  • Occasionally Assist in Administration onboarding of new employees.
  • Spearhead and generate the Admin Bi-annual consumables/toiletries budget for review and approval by line manager, follow thru' with procurement to see the supplies delivered in the office.
  • Manage Inventory by running a monthly stock take to monitor usage and a running tracker is updated on the same.
  • Manage Google calendar on meeting room bookings and recommended adjustments based on demand or advice them accordingly.
  • Planning and coordinating logistics and materials for board meetings, and and assist in facilitating logistics for staff events e.g company town halls, end year party etc..
  • Mann the reception as per need.
